RecruitGibraltar are currently helping our client who is a long established and reputable company who need a Personal Assistant to join their team. Outside the traditional Assistant/Secretarial duties (managing multiple calendars, coordinating complex travel and booking meetings, taking calls and being the first point of contact in the office for the Chairman) lies the opportunity to get involved in off the cuff, and often urgent, research tasks and duties for other departments within the group on behalf of the Chairman. This means a suitable individual for this role needs to possess an adaptive, intuitive mindset with a hands-on approach to completing tasks, even if they may seem outside of their role.

What will you do as a Personal Assistant?

Provide full secretarial / administrative support as required – diaries, meetings, minutes etc.
Screen phone calls for the chairman using initiative, taking messages and redirecting to other colleagues where necessary
Maintain organised digital and paper-based filing system for the Chairman’s personal and professional documents
Co-ordinate complex travel itineraries for the Chairman and other executives and organise quarterly overseas company meetings
Maintain databases and run regular reports as required using Word and Excel programmes.


What do you know that makes you a great Personal Assistant?

Previous office experience in a secretarial and administrative capacity is essential
Competent use of all Microsoft Office applications with a minimum standard of Advanced Excel and Advanced Word qualifications are essential criteria.
Good interpersonal skills, the ability to communicate with people at all levels.
Discretion and the ability to work to a high degree of confidentiality.
Ability to draft correspondence, reports and information for committees.
Working knowledge of office systems and procedures.
Ability to extract statistics from computer records and produce reports.
Excellent numeracy skills.


Salary £25k - £30k based on experience.
